Terms & Conditions for Love Letter Floral Design & Event Planning LLC.

Secure Your Date

A 30% non-refundable retainer is required to secure your event date. Your date is not considered reserved until the signed proposal and retainer have been received.

The remaining balance is due 30 days prior to your event date.

Cancellation Policy

The 30% retainer is non-refundable and reserves your event date exclusively with LoveLetter Floral Design & Event Planning.

If the event is canceled more than 90 days prior to the event date, any payments made beyond the initial non-refundable retainer will be refunded.

If the event is canceled within 90 days of the scheduled event date, the remaining contracted balance will become due in full. This reflects reserved design and production time, floral and material commitments, rentals, staffing, and other preparations made specifically for your event.

All cancellations must be submitted in writing.

Floral Selection & Substitution Policy

Flowers are a seasonal product, and availability may vary due to growing conditions, weather, quality, and supplier availability.

The floral varieties shown throughout this proposal represent the overall design direction and aesthetic. While every effort will be made to incorporate your preferred blooms, specific flower varieties cannot be guaranteed.

If a particular bloom is unavailable or does not meet Love Letter's quality standards, a thoughtful substitution may be made. Substitutions will be selected to maintain the intended color palette, texture, movement, quality, and overall design aesthetic.

Design & Final Floral Quantities

This proposal is based on the quantities, floral selections, and design details currently provided. Final quantities and design details will be confirmed prior to floral ordering and may be adjusted based on final guest count, table count, venue layout, and other event details.

Any additions or changes requested after the proposal is accepted may result in additional charges and are subject to floral, rental, and staffing availability.

Repurposing of Florals

Where noted in this proposal, select ceremony florals may be designed to allow for repurposing within the reception space.

Love Letter Floral Design & Event Planning does not provide floral repurposing, relocation, room-flip, or movement of arrangements following the initial setup and installation unless specifically contracted in writing.

Repurposing is the responsibility of the client, wedding coordinator/planner, venue staff, or a designated member of the wedding party or family.

Love Letter will provide guidance regarding which arrangements may be safely moved and suggested placement within the reception space. Once florals or décor have been moved or handled by another party, Love Letter cannot be responsible for damage, breakage, or changes to the appearance or integrity of the arrangement.

Event Strike & Cleanup

Love Letter Floral Design & Event Planning does not provide end-of-event floral strike, cleanup, décor breakdown, or rental collection unless specifically contracted in writing.

The client is responsible for ensuring all Love Letter rental items are collected, properlycared for, and returned within the agreed-upon timeframe.

Delivery, Setup & Installation

Delivery and setup fees are based on the scope of services outlined in this proposal and include the initial delivery, placement, and installation of the contracted floral designs and décor.

Rental Items & Returns

All hard goods provided by Love Letter Floral Design & Event Planning are considered rental items and remain the property of Love Letter Floral Design & Event Planning.

This includes, but is not limited to, compotes, table vases, bud vases, specialty vessels, candleholders, votives, signage, mirrors, display pieces, and other non-floral décor provided for use during the event.

All rental items must be returned within two (2) weeks following the event date, unless otherwise agreed upon in writing.

Where appropriate, floral arrangements may be designed using removable or disposable take-home containers, allowing guests and family members to enjoy the flowers following the celebration while Love Letter's rental vessels remain available for return.

Items that are lost, not returned within the agreed-upon timeframe, or returned damaged beyond normal wear may be subject to replacement charges.

Taxes & Final Investment

All pricing within this proposal is based on the current floral and design scope.

Applicable sales tax is not included in the estimated investment and will be added at the time of invoicing.

The final investment may change if quantities, floral selections, rentals, installations, or other requested services are added or modified.

Proposal Acceptance

By signing our proposal, you acknowledge that you have reviewed and accepted the floral selections, estimated investment, policies, and terms outlined within this proposal.

Once the signed proposal and 30% non-refundable retainer are received, your event date will be officially reserved with Love Letter Floral Design & Event Planning.
